Teams — User Guide

Teams let you bring your colleagues into one shared space so you can collaborate, share your work, and manage everyone's plan and credits from one place.
This guide explains what Teams can do, the different roles, and how the most common things work.

What is a Team?

A Team is a group of people who work together in Ngram. When you create a team you become its owner. From there you can invite people, decide what each person is allowed to do, share conversations and uploads with everyone, and even pay for your members' plans or top up their credits.

You can be part of more than one team at the same time. Each team is separate, and you can have a different role in each one. A small team switcher lets you pick which team you're currently working in.

Who can create a team?

Creating a team requires a Ultimate plan. Once you're on Ultimate, you can create a team, name it, and start inviting people right away.

Roles: who can do what

Every person in a team has one of three roles. This controls what they're allowed to do.

Owner
The person who runs the team (usually whoever created it). There is exactly one owner. The owner can do everything, including the things only an owner can do:

- Pay for a member's plan

- Share credits with members

- Transfer ownership to someone else

- Delete the team

Admin
A trusted helper who manages people. Admins can invite and remove members, change people's roles, and manage invitations — but they can't handle billing or delete the team.

Member
A regular team member. Members can view the team and the roster, share their own conversations and uploads with the team, and leave the team whenever they want.

\* The owner can't simply leave — they first need to hand ownership to someone else.


Inviting people
You invite people by email from the team settings. A few things to know:

- You can invite one person at a time, or several at once by adding multiple email addresses.

- For each person you choose whether they join as an Admin or a Member.

- The person gets an email with a link to join. They sign in (or create an account) and they're in.

- Invitations expire after 7 days. If someone misses the window, just send a new one.

- You can see all pending invitations and revoke any of them before they're accepted.

A note on free members
A team can include up to 5 people on the free plan. Members on a paid plan don't count toward that limit, so there's no cap on paid members. If your team is already at 5 free members, the next free person won't be able to accept an invite until either someone upgrades or a spot opens up.

Managing your team

Team profile
The owner (and admins) can set the team's name, description, and logo at any time from team settings.

Changing roles
Owners and admins can promote a member to admin, or change an admin back to a member. The owner's role can't be changed — to move the owner role you use ownership transfer (below).

Removing people
Owners and admins can remove members from the team. Anyone can also leave a team themselves at any time.

Transferring ownership
The owner can hand the team over to another member. When that happens, the new person becomes the owner and the previous owner becomes an admin. This is how an owner steps back or leaves — it's a deliberate, one-way action, so it asks for confirmation.

Transferring ownership only moves the team ownership — it does not transfer your subscription to the new owner. Your own plan and billing stay with you; the new owner manages the team going forward but is responsible for their own subscription.

Deleting the team
Only the owner can delete a team. This removes the team and everything tied to it, so it's treated as a serious action.

Sharing your work with the team
Teams make it easy to share what you've made so everyone can see it.

- Share a conversation — share an agentic chat with your whole team. Teammates can open it and view the project, videos, and other assets that came out of it.

- Share an upload — share a file you've uploaded (like an image or video) so the rest of the team can use it.

A few things to keep in mind:

- You can only share your own conversations and uploads.

- Sharing is view-only for everyone else — they can see and use what you shared, but the original stays yours and under your control.

- You can unshare anything you shared at any time. Admins and the owner can also unshare items if needed.

- Look for the Share with team / Unshare from team** option on your conversations and uploads.

Plans and credits

This is where being on a team really pays off. The owner can take care of plans and credits for the whole team.

Paying for a member's plan

The owner can buy a paid plan for a team member, billed to the owner's card. The member immediately gets everything that plan includes — credits and features — without having to pay for anything themselves.
- The owner picks the plan (Basic, Premium, or Ultimate) and billing cycle (monthly or annual) for that member.
- The member gets their plan's monthly credits automatically, and is notified by email when the owner sets up or changes their plan.
- While the owner is paying for a member's plan, that member can't change their own billing — the owner is in charge of it. In the member list, plans paid by the team are clearly labeled.
- The owner can stop paying for a member's plan whenever they like. The member keeps the plan until the end of the current billing period, then returns to the free plan.

Sharing credits with a member
Separately from plans, the owner can give credits directly to any member from the owner's own credit balance. This is handy for topping someone up when they're running low. The owner just enters how many credits to send, and they move over instantly.

Notifications

Ngram keeps everyone in the loop by email. People are automatically notified when:

- They're invited to a team

- An invitation is revoked

- Someone joins the team (the owner is told)

- A member is removed

- Their role changes

- Ownership is transferred

- The owner sets up or changes the plan they're paying for

The short version

- Create a team if you're on Ultimate, then invite your colleagues.
